Overview
The EWS (Early Warning System) report allows districts to quickly identify students that are struggling with attendance, suspensions, ELA and Math courses or statewide assessments, have been marked as having a substantial reading deficiency, or been retained. Users can view the overall report and view detailed student information.
The RTI Student Progress Profile is a special screen developed by PAEC in Focus to provide a quick overview of a student’s progress and performance which would normally require users to navigate through and print several different screens inside of Focus.
The purpose of this article is to share detailed information about how the EWS report and RTI Student Process Profile works.
Early Warning System Report
From the Florida Reports menu, select EWS.
The EWS report offers lists, sorted by grade level, of students who qualify for any combination of the state-defined indicators, as shown in the first column below. The information shown is based on the filters at the top of the page.
*Utilize the filters to further breakdown the report or you have the option to click the link to List All Students.
The Effective Date should be completed with the date you would like to run the report for which is usually today’s date; however, if you are running this report prior to school starting you may wish to select the first day of school here.
Select the Discipline & Attendance Year you wish to use for the Attendance Below 90% and One or More Suspensions indicators. If it is early in the school year or before school has started you may wish to use last year, otherwise look at this year.
Select the Course Years range from the corresponding pull-downs. If you need to pull data based on multiple school years, select a range here. If you only want to pull data for one year, select the same year from both pull-downs. Note: Especially at the begging of the year, to factor in grades earned in the previous school year as well as current grades, select the previous year from the first pull-down and the current year from the second pull-down.
Select the Course Terms for which data should be pulled. As shown in the image, you can select multiple terms.
To include student alert icons on the report, select Show Alert Icons
When all selections and changes have been made, click the Refresh Report button.
Select any of the number links in any column to view the list of students who qualify for the selected criteria.
This will take you to the list of students who meet that criteria, towards the left side of the page are the indicators that the student(s) meet:
As you scroll across the page you can see how the student is performing in the indicators for the current year as opposed to the indicator year you selected if it is different.
By default, the Discipline & Attendance Timeframe is the full school year. However, you can select the Discipline & Attendance Timeframe from the corresponding pull-down to choose a different time period such as S1 (semester 1),
Legend of Colors

Absences
- Light Green: Less than 10%
- Yellow: Between 10% and 19%
- Pink: All other values

- Yellow if there is an ESE value

ELL
- Yellow if there is an ELL value

Grade
- Light Green: >=90 or 'A'
- Yellow: >= 80 or 'B'
- Pink: All other values

Referrals
- Light Green: 0 to 2 referrals
- Yellow: 3 referrals
- Pink: More than 3 referrals

Suspension Days
- Light Green: 0 or 1 days
- Yellow: 2 days
- Pink: More than 2 days

Assessment Level
- Pink: Level 1
- Yellow: Level 2
- Light Green: Levels 3-5

Attendance
- Is based on daily attendance to calculate a percentage

Suspensions
- A student is determined to have a suspension if they have an action record with a code of O, I , H and the referral is not marked as closed (District Option available to exclude Minor Infractions and Unprocessed Referrals)

Failing ELA Grades
- A course is determined to be ELA if it starts with 10 or 5010
- These courses are excluded from counting towards ELA:
- '5010020','5010030','1000000','1000010','1000020','1000400','1000410','1000420'
- A grade is considered failing if grade title is F

Failing MA Grades
- A course is determined to be Math if it starts with 12 or 5012
- The same list of course of exclusions above for ELA also applies to Math
- A grade is considered failing if grade title is F

Substantial Reading Deficiency
- This looks for a Reading Intervention Component of B on the student's current schedule.

Retained XXXX-XXXX & Retained Two or More Times
- Note: The Num Retained Years only includes a count if the student has been retained two or more times.
- Note: An update renamed the "Retained Current Year" field to reflect the actual school year in which the student was last retained. The new label format is "Retained XXXX-XXXX," based on the prior year relative to the report year. For example, when running the report for 2024-2025, the label will display as "Retained 2023-2024." This change improves clarity by clearly indicating the retention year for students counted in this category.
Note: ELA & MA grades are counted separate. MA & ELA Level 1 only count as one.
Summary of "Num of Indicators"
- % Absences >= 10%

The max number indicators is 5.
Note: The above indicators are the only ones that count toward number of indicators, all other columns are for informational purposes only.
RTI Student Progress Profile
To access this report, navigate to PAEC > RTI Student Progress Profile
The Student Search Screen allows you to search for a student or group of students.
This report will display:
- Student number, name, grade, birthdate, age, primary exceptionality (if applicable)
- Current schedule including the course name, period and teacher name
- Current year and previous year quarter/nine-weeks grades
- Current year and previous year absences by quarter/nine-weeks
- Total number of referrals over three years and any years of Good Cause Promotion
- The last five years of test history for a student which has been flagged to include on the transcript
