Overview
There are times when posted grades need to be updated after the posting window has been closed.
Focus provides a few different ways grades can be updated. Your school/district may have a policy about how grade changes can be submitted.
You will need to generate a new report card if a grade change is made after report cards have been printed/published.
Grade Change Request System
The Grade Change program allows teachers to electronically request that a posted grade be changed after the grade-posting window has closed. The students posted grades will be updated once the request is approved.
The process starts with the teacher submitting a grade change.
To do this navigate to Final Grades > Request Grade Change.
The Request Grade Changes screen is displayed. New requests for grade changes can be submitted and previously submitted requests are listed at the bottom of the chart.
To submit a new request for grade change, start by selecting the Student from the provided pull-down in the top row. The students listed in the pull-down is dependent upon the course selected from the course pull-down located in the header.
Select the Term from the provided pull-down. The term selected here will determine the grades available to change.
Select the Standard Title from the provided pull-down. This pull-down displays when there are any standards associated with the course selected.
Select the Conduct grade from the provided pull-down. This pull-down displays if the district is utilizing conduct grades.
Once the student and term are selected, the grade that was posted will populate under the Current Grade % and Current Letter Grade.
The Current Gradebook Grade column displays the student's current gradebook grade. If the selected term is an exam, semester, or full grade, the column will remain blank. Additionally, if the "New Grade" does not match the gradebook grade, it will be highlighted in red to help reviewers easily identify discrepancies.
The teacher will need to scroll to the right and enter the new percent grade.
Enter an Explanation in the text box provided. This field may be required depending on school or district settings.
Lastly, the teacher must hit Enter on their keyboard to submit the change. The line will turn yellow. Click Save.
Once the grade change is requested, an administrator receives a portal alert. Click on the alert to approve or deny the request.
If the grade change is approved the students posted grades will be updated under Final Grades.
The teacher can see the status of their grade change by returning to Grades > Request Grade Change.
