Overview
Each night, Focus automatically runs a job in Setup > Scheduled Jobs called WDIS Automated Processes (Assign LCPs). This job will:
- Assign a unique FLTESTID to each Adult Ed test history record,
- Calculate the AEFL score type,
- Update the schedule fields Adult Educational Functioning Level Subject Area,
- Update the schedule fields Pre-Test ID (1-3),
- and update the schedule fields Post-Test ID (1-3)
The job only updates scheduled records for the specified year and survey indicated in the Scheduled Job setup. For schedules outside of the specified survey period, the job will clear the AEFL information on the schedule to meet state reporting requirements.
There are several settings that impact how the WDIS Automated Processes (Assign LCPs) works. This article explains those settings and their impact.
NOTE: This job must be updated after each WDIS Survey site is made before you can do the next/preliminary survey, see below section on "Scheduled Job Settings" for details.
Survey Dates
Under Florida Reports > Florida Reports Setup > Survey Dates, properly set all WDIS Survey Dates for the applicable school year. This is how the job determines which schedule records to evaluate when a given survey is specified.
District Options
Under Florida Reports > Florida Reports Setup > District Options, set the timeframe that FOCUS should consider when associating historical tests to relevant schedules for Adult Educational Functioning Level assignments. Using the example below, FOCUS will look for an appropriate test history record with an administration date of up to 1 year prior to the schedule start date to use as the "Pre Test ID" and AEFL on the schedule.
Scheduled Job Settings
Under Setup->Scheduled Jobs->WDIS Automated Processes (Assign LCPs), set the desired Survey for which schedule information should be assigned and click "Save."
NOTE that this job will CLEAR the schedule Pre and Post Test info for schedules outside of the desired survey and POPULATE the info for schedules within the desired survey. For this reason, you cannot accurately report different survey periods from the same FOCUS site at the same time, such as W Fall Term and X preliminary Spring Term. Running the job for one survey will generate errors for the other if using the same FOCUS site. To avoid this, send your preliminary surveys (G, X) from production after your final survey site is pulled (F, W, S).
To do this, update this job on production once you pull your WDIS Survey Site to calculate pre and post test information nightly for your new "working in" term. The scheduled job that assigns the students' pre and post test information should be updated on production to the new "current term" survey after you pull your Survey site.
Specifically:
- Survey F site is created = change your production job to calculate for Survey W
Since Survey W is the same term as Preliminary G, this will allow you to review errors and send Survey G from production.
(note for most districts this is also when you will change the school year for the job to the new year) - Survey W site is created = change your production job to calculate for Survey S
Since Survey S is the same term as Preliminary X, this will allow you to review errors and send Survey X from production. - Survey S site is created = change your production job to calculate for Survey F for the appropriate year.
Since there is no preliminary survey for summer, this will allow you to review and correct errors in production until your Survey F site is pulled and the job on production is updated to calculate for Survey W in preparation for sending G from production.
Pre and post test information is only populated nightly for the schedule and assessment records that are active within the default date range of the selected survey to align with state reporting requirements.
Database Error on Assign LCPs Job
If you get a database error on the Assign LCPs job we recommend checking the report under PAEC Reports > MIS > Data Validation > Assessment - Find Bad WDIS Florida Test ID - This report will identify bad data manually entered into the Florida Test ID field on the test history record. This field should never be populated by a user if using the Assign LCPs job, as the job field is populated if null when the job is ran and it requires any values present to be non numeric.
