Overview of Roll & Tweak Option
If your master schedule in the current school year is relatively similar to the schedule you will use next year then choosing the roll & tweak option may be the best choice for your school. With the roll & tweak option, you will rollover your master schedule to the next school year and then you can make minor changes to the schedule as needed.
Scheduling Set Up Checklist
- Create / Verify that all teachers are in Focus
- Create/ Verify that all rooms are set up in Focus and assign to the correct teacher
- Verify that Periods and Bell schedules have been set up
- Verify that Calendar(s) have been created
- Verify that Marking Periods have been created
- Verify that Grade posting schemes have been created
- Verify that Grading scales have been created
Making Section Changes
Verify that the course values are correct for the upcoming year – items to check are grad subject and credit values. If a field is greyed out it means that the value has been set at the course catalog level.
Verify that all section values are correct for the upcoming year including Florida fields and co-teacher fields - If a field is greyed out it means that the value has been set at the course catalog level.
You can use the Copy button to make an exact copy of a section. It will also copy the Florida fields. Be sure to re-name the new section as it will appear with the word “copy” after the section number.
Click the Copy button from any section. You will be prompted to confirm.
An exact copy of the section will be made. The only difference will be the section short name. Focus will begin using 001 and increment up for each duplicate you make, ex. 001, 002, 003, etc.
Moving sections to new course numbers
Focus allows you to move a section from one course to another without the need to rebuild the section.
To do this, select the section you would like to move. Click the title of the course in the top left corner of the section.
Once you click on the course title a new screen will appear asking you to confirm that that you would like to move the selected section to a different course.
Click the link to move the section.
Next you will be promoted to select the new course you would like to move the section to.
You will be asked to confirm your selection before the section is moved. Click OK to confirm.
Master Schedule Report
You can use this report to verify course and section data in mass.
You can use this report to update section values in mass – for example you can update the room number on all sections for a specific teacher by using filter and mass update.
A new "Delete" button has been added to the Master Schedule Report. However, it's important to note that sections can only be deleted via the Master Schedule Report when working in the next school year. Additionally, deletion is only possible in the default school year if the school year has not yet started, as determined by the first day specified in the Full Year Marking Period configuration.
Teacher Schedule Report
This report will give you your master schedule at a glance. You can view all sections by teacher and period.
You can also view the room numbers, co teachers, course and section numbers, terms, total number of student in the entire period, and seat totals by clicking the checkboxes for each in the pulldown at the top left corner of the screen.
You can also highlight double scheduled periods, show all teachers sections when filtering by subject , limit report to singletons and doubletons.
Use the filter by subject pull down to only show sections set up in a specific subject folder or by course.
You can filter this report.
Clicking on the course name will take you to the section screen.
The drag and drop feature allows you to move section from one teacher to another (warning – do this BEFORE students are scheduled)

Builder Reports
Builder Reports are used to determine the changes that need to made to the master schedule based on student requests. Builder Reports help assess the demand for particular courses against actual availability. The Scheduler should not be run until most of the Builder Report issues have been resolved.
To access the Builder reports, navigate to Scheduling> Builder Reports.
Courses with too many requests
The first report in the group is called Courses with too many requests. This report will show you courses that have more requests than seats available. Click on the course to update seats available or build additional sections.
Courses with too few requests
The next report in the group is titled Courses with too few requests. This is one of the most useful reports because it tells you courses that have less than 80% of the seats filled. You may decide to combine with another class or move the resources to another area.
Click on the course to review/modify the sections and seats created for the course selected.
Overlapping Requests
Overlapping requests occur when students request a course that conflicts with another course scheduled at the same time. If possible, move sections to different periods to make the courses available to students. Selecting the Only Singletons check box will only show overlapping requests for courses with only one section built. It is important to review overlapping singletons as these students will not be scheduled into both courses unless one is moved.
Click on the course to view courses and section information for that course. Click on the number of requests to see a list of students who requested the selected course.
Overlapping Singletons
Overlapping Singletons are two courses with only one section that both meet on the same period. Students who request both courses can be scheduled into only one of them. Click the course to add a section or change the period on which it meet s.
Sections with 0 Seats
Sections that appear on this report don't have any available seats, so no students will be scheduled for them. Click on the section to add seats.
Period Counts
This report gives you a period count summary showing how many seats, courses, and sections assigned for each period. The seats should be evenly distributed between periods.
Overscheduled Teachers
This report will find the teachers who have more than the defined amount of sections assigned to them. Set the number of sections you would like to filter the report by using the pull-down at the top of the page.
You can display this report using three different options:
- Sections Per Day- View of teachers who have more than X sections scheduled in a day.
- Sections Per Period- View of teachers who have more than X sections scheduled in a period.
- Consecutive Periods- View of teachers who have more than X sections scheduled consecutively.
If a teacher is overscheduled, click on the teacher name then from the pop-up screen click on teacher schedule. This screen will show you the classes assigned to them. Here you can click on the course and make changes to resolved the issues.
