Overview
This article covers the necessary information that needs to be entered for seniors when they complete or graduate high school.
Assigning Program Requirements to Students
The nightly jobs for High School students will automatically assign the 24 Credit program if they do not have a program assigned or the program they were assigned was Middle School and they are now in High School.
To change a student to the 18 Credit program, navigate to the student you want to change, on their Enrollment screen change the Graduation Requirement Program to 18 Credit and click Save.
If you change their program to the 18 Credit program it will automatically mark their Online Course Exempt field on the Graduation screen to "T".
Graduating Seniors
Entering Graduate's Diploma Type & Date
Students who are graduating must be assigned a Diploma Type, Diploma Date, Withdrawal Code and Withdrawal Date. In most districts, the MIS department will mass update Diploma Type and Diploma Date with the standard diploma option and date. Once this has been done, you can then go back through via the Graduation screen and change the students who are exceptions.
For example, students who satisfied the state approved graduation test requirement through a concordant and/or comparative score as indicated by the Met Reading Concordant Score or Met Algebra 1 Comparative Score should be changed to a WFT. To change the individual students Diploma Type, navigate to the student you want to change, on their Graduation screen change the Diploma Type to the WFT code and click Save.
Updating Graduate's Withdraw Code
When students are withdrawn at the end of the year, their Withdrawal Code and Withdrawal Date should match what they have for Diploma Type. Once you have updated all 12 grade students’ Diploma Types you can then search on those Diploma Types and assign their Withdrawal Code and Date accordingly.
For example go to Students > Mass Assign Student Info > More search options > select 12th grade> Click Graduation and search for all students with a Standard HS Diploma [W06] and click Search.
Click on Enrollment and enter an Enrollment Drop date and Drop code. Scroll down and click to select all students and click Save.
Repeat this process until you have assigned a withdraw code and date for all applicable diploma codes. Any remaining seniors who are not graduating should also be assigned an appropriate withdraw code and date.
Note: the Diploma Date on the Graduation screen must be less than or equal to the withdraw date on the enrollment screen to properly be submitted in Survey 5.
Early Graduates
Update their Graduation screen with the Diploma Type and Date, then withdraw the student with the withdrawal code that is the same as the Diploma Type used. You must also check the box Early Graduation so that the student is included in the Class Rank calculation.
Enter “P-academically promoted” in the Grade Promotion Status field on the Enrollment screen.
A district may report 0.25 FTE for a student who graduates one semester in advance of the student’s cohort and 0.50 FTE for a student who graduates 1 year or more in advance of the student’s cohort. The student must earn a standard high school diploma (earns 24 credits and meets the graduation requirements set forth in s. 1003.4282). Valid Diploma codes for early graduates include: W06, WFT or WRW.
If the student was enrolled in the district as a full-time high school student for at least 2 years, the district shall report the additional FTE. If the student was enrolled in the district for less than 2 years, the district of enrollment shall report the additional FTE and shall transfer a proportionate share of the funds earned for early graduation to the district in which the student was previously enrolled.
12th Grade Diploma Designation (where applicable)
After the Diploma Type for all of your 12th grade students are entered, you will need to go in to the Graduation screen and update the Diploma Designation for those students who have met either the Scholar or Industry Scholar Designations.
You can use information from the students' Graduation Requirements Report to help with this determination. Also update the IB Diploma when applicable.
To do this navigate to the student you want to update and go to the Graduation screen. Select the correct value from the field options.
12th Grade Biliteracy Seal Designation (where applicable)
Also, on the Graduation screen, update the Biliteracy Seal Designation for those students who have earned Gold, Silver or both (Gold in one language and Silver in another language) designations. You can use information from the students Graduation Requirements Report to help with this determination.
12th Grade Seal of Fine Arts (where applicable)
Also, on the Graduation screen, update the Diploma Florida Seal of Fine Arts Designation for those students who have earned the designation. You can use information from the students Graduation Requirements Report to help with this determination.
Home Education Students
There is no diploma issued by the public school system in Florida for the completion of a home education program. A signed affidavit of completion (notarized letter) submitted by the student’s parent attesting that the student has completed a home education program, pursuant to the requirements of s.1002.41, F.S. is the legal document of completion. As stated in s.1007 263(2)(a), F.S. it is equivalent to a high school diploma and is regularly accepted by state colleges and universities as proof of high school completion. This statement can be included on a student’s academic transcript or parent-issued diploma. While not required, some students elect to culminate their home education program by taking the General Educational Development (GED) test. A student is issued a diploma from the Department of Education upon passage of the GED. The toll free number for information pertaining to the GED is 1-800-237-5113
