In addition to basic course and section data, the students schedule also holds high stakes state reporting fields that impact funding and accountability.
It is very important that anyone with edit access to the student schedule understands the purpose and field value options for each data element.
Schedule fields are initially set on the course and section. To access the schedule fields, navigate to Scheduling> Courses and Sections.
- Courses and sections are organized by Subject. The subject can be titled anything that the school would like and that will help keep the courses offered organized and easy to find.
- After you select the subject where the courses are stored the course list will display. The top of the screen will update with the course values set at the course catalog such as course number, graduation subject and credits per course history term.
- Once the course is selected a list of sections will display.
Section Tabs
In addition to the main section fields, you will also see several tabs available when creating sections.
- Co-Teacher Tab - The Co-Teachers tab is used to define the co-teachers for a section, set the co-teachers permissions to the section’s attendance and Gradebook, and define whether the co-teacher will be included in state reporting.
- History Tab - From the History tab, schools can track any changes made to the teacher of record for this section. When a section is reassigned to a new teacher, the change is logged and the previous teacher’s record will still display in the section’s history.
- Florida Tab - The Florida tab contains fields used for FLDOE state reporting submissions.
- Vocational/ WDIS Tab - The WDIS/Vocational tab contains all of the fields that are specific for Adult General Education (AGE) and WDIS state reporting submissions. Not Used in Elementary
- Inclusion Tab - The Inclusion tab on the Courses & Sections screen is used to set up inclusion sections. This tab allows users to create inclusion sections without having to create separate sections and package them together.
- Subs- The Subs tab displays substitute teachers assigned to the section from Attendance > Attendance Setup > Subs. Only users with the "View Substitutes" permission for Attendance Setup can view this tab on the section screen. Users with "View Substitutes" and "Edit Substitutes" permissions for Attendance Setup can add, modify, and delete substitutes from the Subs tab on the section screen. Records that have been added, modified, or deleted in the Subs tab on the section screen will be reflected in Attendance > Attendance Setup > Subs, and vice versa.
Florida Fields
- FEFP Number-The FEFP number is used to determine the students funding level. The following values indicate student status on the student schedule:
- 111(Pk-3), 112(4-8), 113(9-12) complete class is Special Education
- 254 – one-on-one aide class and other higher matrix values
- 255 – hospital homebound and other higher matrix values
- 130 – ELL core course (math, science, social students, English, reading if ELL read course)
- 300 – secondary vocational courses (all 8XXX-XXX or 9XXXXXXX and some 7XXXXXXX classes)
- 999- for course records that do not get funded.
- Regular ed classes should be coded with a grade-level appropriate FEFP of 101, 102 or 103.
- District of Instruction-If the district of instruction is different than the district in which the student is enrolled, indicate the district where the student is attending this section.
- School of Instruction -If the school of instruction is different than the school in which the student is enrolled, indicate the school where the student is attending this section.
- Days of the Week Alternate Date Certain - If applicable, select the day of the week for the alternate date certain. The Student Course extract and Class Size Report will take this day into account when outputting data.
- Class Minutes Weekly- Indicates the total number of minutes per week that the section meets. This value should correspond with the bell schedule, where possible. NOTE: This field cannot be submitted to the DOE blank or with a 0 value, or it will not be accepted.
- Scheduling Method-The available values for the scheduling method field are indicated below:
- A – Alternating Day or week – if a section is set up as alternating there has to be a matching section
- B – Block – used for block scheduling – a section that completes a semester in a 9-week period
- C – Co-teaching - two teachers sharing a classroom and responsibility with students; requires use of the Co-Teachers tab
- D - Primary Teacher with Apprentice – a classroom where a Primary certified teacher serves as a mentor to an apprentice, responsible for team-teaching strategies and providing on-the-job training for at least two years.
- G - Individual or Small Group Instruction – teacher meets with an individual student or small group of students in a separate classroom setting.
- I - In-Class One-on-One – teacher meets with an individual student or small group of students on an individualized basis within a traditional classroom but not as a co-teacher.
- M – Multi-use - two teachers sharing a classroom space but work independently with own students.
- S – Self-contained - one teacher provides total instruction for the entire class period.
- W - Wheel Class – same course meets in the same room with the same teacher during the same period on multiple days of the week, but with different groups of students.

- Exclude from FTE- When a section is indicated as a “fill” or “for attendance and grades,” but is not a state-reported section, this field needs to be checked. Examples include lunch, homeroom, and travel classes.
- Exclude from FASTER- When a section is indicated as a “fill” or “for attendance and grades,” but is not a state-reported section that is reported through FASTER, this field needs to be checked. Examples include lunch, homeroom, and travel classes.
- Facility Type- By default, the facility type will be set to “School District Facility. ”If the course is at a local college, DJJ facility, off-campus OJT, virtual instruction, or for a hospitalized/homebound student, then this needs to be indicated using the selected values for state reporting purposes. NOTE: This field only displays on the teacher’s course record only.
- Online Course- Select an option to designate if this is an online course. This is used for 9-12 courses to designate whether a student meets the online course requirement. This field cannot be edited on the schedule. This field can be set and pulled from the Course Catalog.
- Dual Enrollment Indicator- If the section is enrolling dual enrollment students, the DE indicator needs to be “A” to indicate a college credit course or “C” to indicate an AGE student receiving technical college credit. Not used in Elementary
- Primary Instructor-The primary instructor needs to be indicated when co-teachers are assigned to a section. Check the instructors who need to be listed as the leading instructor for this section.
- Course Flag 1 – 4- Course flags indicate additional details about the course section, such as honors, AP, DE, etc.
- Certified/Licensure/Qualification Status By default, this field is set to “certified and licensed. ”If the teacher has been indicated as being out of their field, this field needs to be updated to reflect the teacher’s qualifications to lead this class
- Highly Qualified-This element has been removed by DOE effective 17/18
- Reading Intervention Component- If this section is specifically for students who are all receiving reading intervention instruction, this field needs to be checked.
- PMRN- Progress Monitoring and Reporting Network (PMRN) is sent at the beginning of the school year for the Florida Assessments for Instruction in Reading aligned to the Florida Standards (FAIR-FS). Many schools do not use the PMRN system/FAIR testing anymore.
If you do use PMRN you must mark those classes at the beginning of the year. If you do not have any schools using PMRN you do not need to send it - Pull-Out-Select to indicate this section is a “pull-out” section for students leaving their traditional class to receive extra instruction. Note: Pull-out sections should have the Scheduling Method set to G - Individual or Small Group instruction Note: Pull-out sections will be excluded from class size. In State Reporting extracts, period 88 will be added as the ending period for the section to denote the pull-out.
- Team Teacher Training -Any section with a “C” or “I” (with matching “S”) scheduling method must have a team-teaching strategy – information for the staff development office. NOTE: This field only displays on the teacher’s course record only.
- Virtual Instruction Provider- This field indicates that a virtual instructor is leading this section.
- Online Course Provider- If this course is an online/virtual course, indicate the online course provider.
- Blended Learning Course- Check this field if the section needs to be considered a combination of instructor-led courses and virtual/online courses.
- Location of Student-This field is checked when the section is a virtual class, indicating that the student is enrolled online. The following values indicate student status on the student schedule:
- N - The student is not located in a public school district facility during the regular school day for the virtual instruction course.
- S - The student is located in a public school district facility during the regular school day for the virtual instruction course, excluding Florida Virtual School courses under contract with the district to be offered on the public school campus in a virtual learning lab
- T - The student is located in a public school district facility taking a Florida Virtual School (FLVS) course in a Virtual Learning Lab during the regular school day for the virtual instruction course. These are FLVS courses under contract with the district to be offered on the public school campus
- Z – Not Applicable
- EOC Exam Term- This field indicates which terms to attach EOC exam records to: either the semester ID or the full year ID. Not used in Elementary
- ELL Instructional Model -Indicates the student’s ELL status (per DOE) and subsequent instructional model/approach, teachers’ certification, and program funding.
Once you have filled in all of the section fields click the Save button in the top right-hand corner.
Continue this process for adding sections until your master schedule is complete.
